Case Study
Multi-Day Agricultural Conference
The Kingsmills Hotel recently hosted an international multi-day conference, welcoming delegates from across the globe. With Inverness Airport offering strong links to London, Amsterdam, and other key hubs, international travel proved smooth and convenient. On arrival, delegates stepped into a venue designed to deliver comfort, flexibility, and memorable Highland hospitality.
A Four-Day Programme
This conference highlighted how a multi-day conference thrives on variety and flow. Across several days, delegates engaged in professional development sessions, academic poster presentations, keynote talks, and vibrant evening celebrations. Each day required a different style of setup -something the Kingsmills team delivered with precision.
Day One: Arrival and Welcome
Delegates arrived to register in our spacious foyer before moving into smaller meeting rooms. Spaces such as the Culcabock and Damfield Suites adapted quickly – beginning in a boardroom setup for focused committee meetings, then reconfigured into theatre layouts for professional development workshops of 20 guests.
The Kingsmills Suite became the hub for the opening poster session. Using freestanding boards and wall displays, exhibitors presented research while delegates enjoyed a standing reception with poser tables for relaxed networking. This set a welcoming tone for the days ahead.

Day Two: Keynotes and Networking
The second day featured the conference’s main keynote sessions in the Kingsmills Suite, set in theatre style to ensure clear sightlines for every delegate. A dedicated catering space sat alongside the plenary hall, with large ovals laid out for buffet-style networking lunches.
Meanwhile, smaller rooms – including the Culcabock, Damfield, Macleod, and Adams – hosted syndicate sessions in various layouts, supporting workshops and committee meetings.
The day concluded with a highlight: a formal Scottish dinner and ceilidh in the full suite. Guests dined at oval tables surrounding a central dancefloor, complete with a piper’s welcome and a live ceilidh band. Many international delegates even hired kilts locally to embrace the Highland spirit.

Day Three: Development and Awards
The third day maintained momentum with another full programme. The Kingsmills Suite again transformed into a plenary space, while breakout rooms supported specialist sessions. Lunch moved to the Inglis and Conservatory Restaurant, providing a refreshing change of scene with garden views.

In the evening, delegates gathered for the Awards Dinner. The suite was set on elegant oval tables, this time without a dancefloor, creating an atmosphere of celebration and recognition.
Day Four: Closing Meetings
The final day brought the conference back to its roots with smaller boardroom discussions. The Culcabock Suite hosted concluding executive meetings, drawing the event to a professional close.
Outdoor Refreshments Under the Stretch Tent
Throughout the programme, the garden stretch tent proved a popular feature. Delegates stepped outside between sessions for tea, coffee, and fresh Highland air. The informal space encouraged conversations that often continued beyond the formal agenda – a vital part of any successful multi-day conference.
